AI receptionistRestaurants and hospitality

The phone rings hardest at seven. It takes the booking anyway.

An AI receptionist on your restaurant's number. It takes the reservation and the party size, answers questions about the menu and your hours, and puts the table in your book, during the rush and after close.

Friday, 7:15pm. Every hand is full.

The host is seating a four-top, the bar is three deep, and the phone has been ringing for a while. Someone wants a table for eight tomorrow night. Nobody can get to it, so they book somewhere that picked up.

Or somebody does leave the floor to answer it, and the table in front of them waits. Either way, the phone costs you something at exactly the moment you can least afford it.

Three calls that come in during service.

Pick one and watch it go. These are scripted examples we wrote to show how it handles each kind of call; the restaurant is invented and nobody real is on the line. What it asks, and what it writes down, is how it works on a live number.

AgentGood evening, Harbour Street Kitchen. Are you calling to book a table?

CallerYes, for tomorrow night. There are eight of us, around 7:30?

AgentFor eight tomorrow, I have 7:45 at the long table by the window. Would that work?

CallerPerfect. It's for my mum's birthday, and we'll need a high chair.

AgentLovely. I'll let the team know about the birthday. What name and number should I put it under?

CallerSofia Marchetti, 416 555 0163.

What it costs

$699 a month

$1,200 to set up. 1,500 minutes of calls included, then $0.45 a minute.

Founding clients: $600 to set up and $549 a month, held for a year, in return for a case study and one reference call.

What we carry

If the voice agent has not answered every call it was given for 60 days, the monthly fee is refunded. Winwire carries the risk, not the buyer.

Thirty days to change your mind: money back on any setup fee, no questions asked.

What owners ask before they start.

Does it work with our reservation system?

It books into the reservations you already keep. Systems vary a lot, so on the first call we check whether it can book into yours directly, and you hear the answer before you pay anything, not after.

What does it say about allergies?

Exactly what you tell it to, and nothing more. Most places have it describe what the kitchen can do, add a note to the booking for the server, and hand anything serious to a person.

What about large parties and private events?

It takes the date, the numbers and what they have in mind, and passes it to you. A buyout is a conversation you should have yourself, and it won't quote one.

What if we're fully booked?

It says so, offers the nearest times you do have, and takes the booking if one of them works. You decide how full is full.

Will guests know they are talking to software?

If they ask, it tells them. It never pretends to be a person. Most people just want the table, and it picks up on the first ring to give them one.

Fifteen minutes to find out what the rush is costing you.

We'll ask how often the phone goes unanswered during service and what a table spends, then do the sum with you. If it's small, we'll say so. Or ring us on +1 437 837 0556 — a person answers.
